Forms 1 & 2 need to be sent to the CAS chair both in electronic and hard copy at least two weeks before the CAS meeting at which it ill be presented.

 

The Process

 

Pre-planning:

Check the schedule of Critical Dates on the CAS website so that you are timely in your planning and presentation to CAS. No last minute, rushed through courses, without proper signatures and preparation, will be accepted for CAS presentation.

If you are preparing a Distance Learning Course, go to the web page: Distance Learning Approval Process

Get department approval.  Talk with appropriate faculty in your department/division for suggestions or ideas you may have missed.

Get division approval.  The process for Divisional Approval depends on your Dean and Division. Ask your Dean to present this to Instructional Council if appropriate and to notify the CAS chair that the course is being prepared.

If you are applying for special designation, get subcommittee approval.  The application process of is available at the web page Applying for Special Designation

Get TAC approval if this is a Professional/Technical Course. Be sure to follow The Professional Technical Checklist

 

Document Preparation: 

All documentation must be complete, all stake-holders consulted and all signatures obtained before the CAS presentation.

Save the appropriate forms (above) to your computer and edit them

ullet

If this course is shared across the District, obtain concurrence approval from other colleges by signature or email.

ullet

Contact Mark Baumann (206) 587-4102 for a new course number,  "CIP code", and an "institutional intent" code.

ullet

Seek out comments from the Advising, Credentials, Library and Technology groups on campus. These individuals will be able to point out potential issues with your course such as: appropriate fees, transferability, prerequisites, library/technology support etc. Get signatures from these groups on the appropriate forms.

¬Make any revisions suggested by the above groups.

ullet

Send completed forms electronically to the CAS chair for review at least 1 week prior to the presentation date you are hoping for.

Send completed paperwork, with all necessary signatures, to the CAS chair for review at least 1 week prior to the presentation date you are hoping for. A CAS presentation date can then be set. (The CAS chair must have all signed, completed paperwork prior to a date being set.)

 

CAS Presentation:

Course revisions which DO require a CAS vote:

  • Course name change
  • Course prefix or number change
  • Course credit change
  • Course description change
  • Any other ÒsignificantÓ course changes (such as learning objectives etc)

Course revisions which DO NOT require a CAS vote but do need to inform and provide appropriate paperwork to CAS:

  • Course pre-requisite change
  • Course deletions from inventory

Prepare for your CAS presentation: be ready to explain Òthe questions to ask yourselfÓ, mentioned above. Be sure all suggested revisions are complete, final paperwork is in the CAS chairÕs possession, and e-versions of your paperwork have been received by the chair. Do not make hard copies for the CAS presentation; the documents will be projected onto a screen as you present. You will provide a brief introduction to the course and why you have developed it. CAS will then vote on whether or not to approve the course.

When the course is approved, the CAS chair will sign and date the documents and send them on to the Vice President of Instruction. With the VP of Instruction’s signature, 5 copies of the original signed documents will be made and distributed to the appropriate places. (District, Office of Instruction, Credentials, Advising, Division).

If you have not received your copies of signed documents back at your division within 2 weeks of CAS approval, please contact the CAS chair. When your course has been approved by the District Office and the State Board, they will email the Chair and your course will be put on the CAS website as approved.

Congratulations! Teach your course!

 

Please remember that all signatures must be obtained prior to CAS presentation.  It is the instructor’s job to obtain the signatures for the course paperwork, not the secretary’s. The instructor needs to hear the feedback from the stakeholders and make any changes suggested.
